Pay Syncfor Shopify POS

Terms of Service

Effective 5 October 2026

The service

Pay Sync ("the App") is a Shopify app operated by AITCOM (Pty) Ltd t/a AskMario ("we", "us"), a South African company. It connects Shopify POS to your card terminals. A cashier taps the Pay Sync tile in POS and the App sends the sale total to the card terminal paired with that till, through your terminal provider's cloud service. The App records the terminal's answer on the Shopify order as order metafields, turns a POS Return on your terminal payment method into a "Refund to send" at the till, reconciles its records every night against your terminal provider's report, and raises exceptions for anything a person must look at. It also has a Simulator mode, which needs no terminal, for trying the whole loop. The App runs as an embedded Shopify app plus a POS extension.

What Pay Sync is not

Pay Sync is not a payment gateway or a payment processor. It does not process or hold payments, it never creates a payment transaction in Shopify and it does not take part in checkout. The cashier finishes the sale with your shop's own custom payment method, and the App records the result the terminal returned. The card payment itself is taken by your terminal provider and card acquirer under your agreement with them. Refunds go only through the original terminal and processor.

Account and installation

You install the App from the Shopify App Store onto a Shopify store you control. If you install it for a business, you confirm that you have authority to accept these terms for that business. By installing, you agree to these terms and to Shopify's own Merchant Terms of Service, which continue to govern your Shopify account and store independently of this App.

Your card terminals

Pay Sync works with card terminals on a supported terminal provider's cloud service. Contact us to check yours. You need your own agreement with your terminal provider and card acquirer. Pay Sync is not affiliated with or endorsed by Shopify, any bank or any terminal provider.

Your responsibilities

You are responsible for creating the POS custom payment method with exactly the name shown in the App's Settings, keeping the POS app up to date, setting up each till, keeping the connection details you enter correct and confidential, and reviewing the exceptions the App raises. The App can only record and reconcile what the terminal and your terminal provider report, so keep using your terminal provider's own reports and your bank statements as the final record of what was paid.

Subscription and billing

Pay Sync is charged through Shopify, on your Shopify invoice. There is no other payment method: we do not collect card details or take payment ourselves. Fees are usage-based, per active card terminal per month, and are as shown on Pay Sync's Shopify App Store listing. A terminal counts as active in a billing cycle once it has taken an approved payment through the App in that cycle. Fees are set by plan and can change: we will give notice through Shopify, and the new fees apply from the date in that notice. These fees are separate from what your terminal provider and card acquirer charge you for processing card payments. If your plan lapses, we may ask you to choose a plan before you can use the Pay Sync pages in your Shopify admin, but a lapsed plan never blocks a sale at the till.

Simulator mode

Simulator mode lets you try Pay Sync without a terminal. No real terminal is contacted and no money moves, so what you see in Simulator mode is test data and says nothing about a real payment. Treat results as real only once your terminals are connected and the App is out of Simulator mode.

Cancellation

You may stop using Pay Sync at any time by uninstalling it from your Shopify admin. Billing stops according to Shopify Billing's rules, and usage already charged for the current billing cycle is not refunded. What happens to your data when you uninstall is described in the Privacy Policy.

Acceptable use

You agree to use the App only to send genuine sales and refunds to your own card terminals and to reconcile them against genuine Shopify sales, not to attempt to reverse-engineer, scrape or overload the service, and not to use it in a way that violates applicable law, including data protection law governing the transaction data described in our Privacy Policy.

Data and privacy

Our collection, use, storage and retention of data is described in full in the Privacy Policy, which is incorporated into these terms by reference.

Intellectual property

The App, its underlying software and its branding remain our property. Nothing in these terms transfers ownership of the App to you. You retain ownership of your own store data and the transaction records generated on your behalf.

Service availability

The App is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted or error-free operation. Pay Sync is built so that it never blocks a sale: it records and reconciles what the terminal reports, and a problem with the terminal, your terminal provider or the network is raised as an exception for someone to review. The bank, not the App, decides whether a card payment is approved. The App works only while the POS device is online, because POS greys out app tiles when it is offline. If that happens, key the amount on the terminal as usual and capture the slip afterwards.

Accuracy of records

Pay Sync records what the terminal and your terminal provider report, and flags differences between them and your Shopify orders. It is a record-keeping aid, not an accounting, audit or settlement system. Your terminal provider's and bank's own records remain the final word on what was paid, and Pay Sync cannot detect every difference. Times and trading days in the App use South African time (Africa/Johannesburg).

Third-party services

Pay Sync depends on Shopify, your terminal provider, your card acquirer and our hosting providers. We do not control them and are not responsible for their outages, delays, decisions or changes, including a payment that they decline, delay or fail to report.

Limitation of liability

To the maximum extent permitted by law, our total liability arising out of or relating to the App is limited to the total fees you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental or consequential damages, including lost profits or reconciliation differences arising from a terminal, a terminal provider, a bank or any other system outside our control.

Indemnification

You agree to indemnify us against claims arising from your misuse of the App or violation of these terms. We agree to indemnify you against claims that the App, as provided by us, infringes a third party's intellectual property rights.

Termination

You may terminate by uninstalling the App. We may suspend or end your access if you breach these terms or misuse the App, or discontinue the service with reasonable notice. Sections concerning data handling, liability and indemnification survive termination.

Changes to these terms

We may update these terms as the App evolves. Material changes will update the effective date above; continued use after a change constitutes acceptance.

Governing law

These terms are governed by the laws of South Africa, without regard to conflict-of-law principles.
