At the till
At the till
What the cashier sees and does to send a sale to the card terminal, and what each answer means.
Pay Sync is not a payment gateway. The cashier still completes the sale in Shopify POS with your own custom payment type. Pay Sync sends the amount to the card terminal paired with that till, waits for the answer and records it on the order.
#How does a cashier take a card payment?
- Add the items to the cart.
- Tap the Card payment tile. It opens a screen headed Card payment.
- Check the amount and tap Send to the terminal. The button shows the amount, for example "Send R 120.00 to terminal".
- Ask the customer to tap, insert or swipe their card.
- When the screen says Approved, go to Checkout, choose your custom payment type and tap Mark as paid.
Good: Pay Sync never blocks a sale. If anything here is unavailable, the cashier can key the amount on the terminal and finish the sale with the custom payment type. Head office matches the payment later.
#What does the tile say?
The second line of the tile tells the cashier the state of the till.
| The tile shows | What it means |
|---|---|
| Tap to pay, then the amount and terminal name | Ready. The till is paired, the terminal is online and the cart has items. |
| Tap for today's card payments | Ready, but the cart is empty. Tap to open the Daily report. |
| Approved, then the amount, then go to Checkout | The card was approved. Finish the sale. |
| Waiting on terminal | A payment is on the terminal now. |
| Approved, then go to Checkout | The card was approved. Finish the sale. |
| No terminal paired | This till has no terminal yet. See Connecting terminals. |
| Till currency differs from shop | The till quotes a different currency from the shop. Nothing is sent. |
#What do the answers mean?
| Answer | What to do |
|---|---|
| Approved | The customer has paid. Finish the sale in Checkout. |
| Declined | The bank said no. Tap Try again or ask for another card. |
| No response from the terminal | Look at the terminal first. If it shows an approval, the customer has paid: finish the sale, do not send again. |
| Terminal busy | Wait a moment, then tap again. |
| Could not reach the terminal | Check the terminal's connection, then tap Try again. |
Careful: After a payment reaches the terminal, Pay Sync cannot recall it. A card cancel must be done on the payment device itself, by pressing the red X.
#What does Stop waiting do?
While the screen says "Waiting for the card", the cashier can tap Stop waiting. This only stops the till from watching. It does not cancel the payment. The terminal may still complete it, and if it does, the payment shows under Daily report and is linked to the sale automatically.
If the wait runs long, do not send again. The answer will arrive and link itself.
#How does a split payment work?
Use this when part of the sale is paid another way, such as cash or a gift card.
- Tap the tile and open the Split payment tab.
- Under Paid another way, enter the amount that is not going on the card.
- The screen shows the Card amount. Tap Send to the terminal.
- After Approved, go to Checkout and choose Split payment. Enter the other method first, then the card amount on your custom payment type, then Mark as paid.
The amount paid another way must be less than the sale total and greater than zero.
#What is the one-tap tile?
The One-tap card payment tile sends the cart total straight away, with no confirmation screen. The tile itself shows "Waiting for the card", then "Approved", or a short message if something fails. For a split payment or a refund, use the main tile.
#What if the sale was already completed?
If the sale was completed before the card was charged, open the order in POS and choose Terminal payment. You can Charge the amount on the terminal, or Capture terminal slip by typing the RRN and Auth code from the printed slip.
Note: After you change tiles or settings, close POS fully and reopen it. A till keeps the old version until it is force-closed.
