Setting up

Connecting your card terminals

What you need from your terminal provider, and how to add stores, terminals and tills in Pay Sync.

Pay Sync sends the sale total to your card terminal through your terminal provider. So before a till can send anything, your provider has to know about your stores and terminals. This page covers what to get from them and where to enter it.

#What do I need from my terminal provider?

Pay Sync works with card terminals connected through your terminal provider. You sign up with them directly. Their terms and costs are between you, them and your bank.

Once your terminals are registered, ask for these:

WhatWhat it is
Site IDA code for one store. One per store.
Till numberA number for one terminal. One per terminal.
Operator codeThe code that prints on the slip as the cashier number.
Merchant IDYour merchant number from your bank. Optional.

Note: A terminal does nothing until your provider has registered it. If a store has three terminals, you should have one Site ID and three till numbers.

Careful: The Site ID also identifies you to your provider. Keep it private.

#How do I add my stores?

Pay Sync reads your stores from the locations in Shopify.

  1. Open Terminals in the Pay Sync menu.
  2. Select Sync locations from Shopify.
  3. Find your store in the Stores table.
  4. Select the edit button on its row and type the Site ID.

A store with no Site ID shows "Not set" in the Site ID column. The Terminals column shows how many terminals it has.

#How do I add a terminal?

Select Add terminal and fill in the form.

FieldWhat to enter
NameA friendly name, for example Main Street - Till 1.
StoreThe store the terminal stands in.
Site IDLeave blank if the store already has one.
Till numberThe number your provider gave this terminal.
POS device IDOptional. Leave blank to use this terminal for the whole store.
StatusActive, Draft or Archived.

The form also has optional fields for Terminal ID (TID), Merchant ID (MID) and Serial number. Pay Sync learns the TID from the first approved slip, so you can leave it empty.

If you give the store a Site ID first, a terminal there only needs its till number.

#How do I pair a till to a terminal?

A till is a POS device. Pairing tells Pay Sync which terminal that till sends to. You have three ways to do it.

  • One terminal per store. Leave POS device ID blank. Every till in that store uses it.
  • From the POS devices list. Each till that has opened Pay Sync appears there. Select Pair on its row. The list shows Last seen and Last payment so you can tell which till is which.
  • From the till itself. If the store has a Site ID, the tile on the till shows "Tap to set up this till". The cashier types the till number printed on the terminal beside it and taps the set up button.

Good: A till can have only one active terminal.

#What do the terminal statuses mean?

  • Active terminals take payments.
  • Draft is set up but not on the counter yet.
  • Archived is retired. Its history stays on the orders.

Use Activate, Archive or Restore on the row to move between them. You can only delete a terminal that has no history. Otherwise archive it. New terminals each year are normal, so archiving is the usual path.

#How do I move from Test to Production?

Pay Sync starts in Simulator mode, which contacts no terminal. In Settings, the Terminal provider section lets you choose Live and an Environment. Test reaches your provider's test system. Production takes real card payments.

Production is switched on by Pay Sync support, once your provider confirms you are ready. Until then the option is greyed out. To ask for it, contact support.

Careful: Before going live, check each terminal with a small real payment and look at the order afterwards.
