Setting up
Settings
Every setting in Pay Sync, what it does and what it defaults to.
The Settings page has four sections: Matching, Terminal provider, Plan and Overnight reconciliation. Each section with a Save button saves on its own. The button stays off until you change something.
#What is in the Matching section?
| Setting | Default | What it does |
|---|---|---|
| Custom payment type name | Card terminal | The name of the custom payment type your cashiers pick in POS. |
| Orphan window (minutes) | 15 | How long an approved payment may wait for its POS sale before it is flagged. |
The payment type name must match the one in POS exactly. This is how Pay Sync recognises a card terminal sale. If you rename the payment type in Shopify, change it here too.
The orphan window takes a whole number from 1 to 1440. An approved payment with no sale after that time shows up on the Exceptions page.
The section also shows your shop currency. It is read from Shopify and cannot be changed here. Amounts sent to the terminal and written to the order both use it.
#What is in the Terminal provider section?
| Setting | Default | What it does |
|---|---|---|
| Mode | Simulator | Simulator contacts no real terminal. Live sends to your terminal. |
| Credentials | Not configured | Shows Configured once details are saved. |
| Environment | Test | Test uses your provider's test system. Production takes real payments. |
| Site ID | Empty | Your provider's code for the store. |
| Till number | Empty | The till your provider registered for this store. |
| Operator code | Empty | The code that prints on the slip as the cashier number. |
| Merchant ID | Empty | Your bank merchant number. Optional. |
Credentials are write-only. Once saved they are encrypted and never shown again. The fields say "Leave blank to keep the current value", so you can change one thing without retyping the rest.
Enter the Site ID, till number and operator code together. Pay Sync refuses a half-filled set. The till number and operator code are whole numbers.
A terminal that has its own Site ID and till number on the Terminals page uses those instead of these.
Note: Production is greyed out until Pay Sync support switches it on for your shop. See Connecting your card terminals.
If you change only the environment, Pay Sync keeps your saved details and swaps the address.
#What is in the Plan section?
It shows a Pay Sync plan badge: Chosen or Not chosen. Select View or change plan to open the plan page in Shopify.
You are billed on your Shopify invoice, per card terminal that takes a payment in a billing cycle. Nothing is charged for a month in which no terminal takes a payment.
Good: A plan never stops a sale at the till.
#What is the Overnight reconciliation section?
It has one row, Scheduled job access, with a badge: Set up or Not set up. The overnight batch import and the check for payments still waiting on a sale run on their own every night. There is nothing to configure. If you see Not set up, contact support.
#What happens when I save?
The page shows a banner: "Matching settings saved." or "Terminal provider settings saved." Changes apply from the next payment. A payment already on the terminal finishes as it was sent.
Careful: If the custom payment type name here differs from POS, sales will not be matched to their payments. Check the spelling, including capitals.
