What Pay Sync does
What Pay Sync is, who does what, and the screens you will use every day.
#What is Pay Sync?
Pay Sync connects Shopify POS to your own card terminals in South Africa. The cashier taps the Pay Sync tile, and the sale total goes straight to the terminal at that till. The customer taps, inserts or swipes their card. Nothing is retyped, so nothing is mistyped.
The terminal's answer is then saved on the Shopify order: the RRN, authorisation code, terminal ID, masked card and outcome. Every night Pay Sync checks each till against your terminal provider's report and lists anything a person should look at.
Note: Pay Sync is not a payment gateway. It does not process payments and it does not take part in online checkout. Your terminal provider and your bank handle the money. Pay Sync passes the amount along and keeps the record.
#How does a sale work?
- The cashier adds items in Shopify POS.
- The cashier taps the Pay Sync tile. It reads Card payment on the grid.
- The cashier sends the total to the terminal. The customer pays on the terminal.
- The tile shows Approved. The cashier goes to Checkout, chooses your custom payment type and marks the sale as paid.
- Pay Sync links the sale to the terminal payment and writes the result on the order.
The custom payment type is how Shopify records that the sale was paid by card. Pay Sync recognises the sale by it. The default name is Card terminal.
#Who does what?
| Person | What they do |
|---|---|
| Cashier | Taps the tile, waits for the answer, finishes the sale at Checkout. Sends refunds from the tile. |
| Store manager | Checks the Daily report on the tile and the Transactions list in the admin. |
| Head office or admin | Adds terminals, pairs tills, reviews Exceptions and Batches, changes Settings. |
| Your terminal provider | Supplies your Site ID, Till numbers and the credentials for Production mode. |
#Which screens will I use?
The Pay Sync menu in your Shopify admin has these pages.
| Page | What it is for |
|---|---|
| Transactions | Every terminal payment and refund, with its outcome and its order. |
| Exceptions | Only the items that need a person to decide. |
| Batches | The nightly comparison with your terminal provider's report. |
| Daily report | Each till's sales and refunds for the day. |
| Terminals | Your stores, terminals and POS devices. |
| Settings | The payment type name, the terminal provider connection and your plan. |
The app's front page is the dashboard. It shows today's sales, how many are matched to orders, any open exceptions and the last ten attempts.
#What will Pay Sync never do?
Good: Pay Sync never blocks a sale. If anything goes wrong, the cashier can key the amount on the terminal and finish the sale as usual. Your head office matches the payment afterwards.
Some limits are worth knowing from the start.
- Once an amount is on the terminal, there is no cancel in Pay Sync. The cashier can only stop waiting.
- A payment is only ever sent in your shop's currency. Pay Sync never converts.
- A refund is sent to the terminal at the till where the customer is standing, and the customer taps the card they paid with. Pay Sync cannot check which card is tapped, but it never sends more than the original card payment still allows.
#Where do I start?
Start with the tutorial. It takes about ten minutes and uses Simulator mode, so no real terminal is contacted and no card is charged. When you are ready for real terminals, read Connecting terminals.
